AquaFlow Terms of Service
Version 1 — Last updated 30 August 2026
In short
- AquaFlow is business software for water supply businesses. It is made and run by COULTR (registration number 4220118816267), based in Karachi, Pakistan.
- The account belongs to your business, not to any one person. Whoever accepts these terms is confirming they are allowed to accept them for the business.
- You add your own staff and give them roles. You are responsible for what your staff do in the app.
- One staff account can be used on two devices at a time. You or we can block a device.
- You enter your customers' details into AquaFlow. Those details are yours to look after, and it is your job to have the right to hold them.
- We do not promise the service will never go down.
- If a bill goes unpaid past the grace period, the app becomes read-only — you can still see everything, but you cannot record new work until you pay.
- We own the software. You own your business records.
- These terms are governed by the law of Pakistan, and disputes go to the courts at Karachi.
1. Who we are
AquaFlow is a software service operated by COULTR ("we", "us", "our"), based in Karachi, Pakistan.
Registration number: 4220118816267
You can reach us at [email protected]. We do not run a walk-in office — support is by email and WhatsApp, so that you get an answer from the people who work on the software rather than a counter.
"AquaFlow" or "the service" means our mobile app for water supply businesses, the web panel we use to support you, and the connected service at api.aqua.coultr.com.
2. Who this agreement is with
AquaFlow is sold to businesses, not to individuals for personal use.
The customer under this agreement is the water supply business that holds the account ("you", "your"). Everyone who signs in — owner, manager, accountant or rider — is using the business's account, not their own private account.
If you are reading this as a member of staff: the business you work for holds the account, and the business decides what happens to it.
3. Who may open an account, and who may accept these terms
To open an account you must:
- run a real business supplying water in Pakistan;
- be at least 18 years old; and
- have the authority to enter into this agreement for that business.
If you accept these terms in the app or on our website, you are telling us that you have that authority. If you do not, please stop and ask the owner of the business to do it.
4. Your staff, their roles and what you are responsible for
You add your own people to AquaFlow and give each one a role:
- Admin — the owner. Full control, including the plan and billing.
- Manager — full day-to-day control, but cannot change the plan.
- Accountant — customers, sales, cash, expenses and the ledger. Cannot write off a debt.
- Rider — their own deliveries, their own road sales, and cash collected from customers assigned to them.
You are responsible for:
- who you give an account to, and which role you give them;
- everything done through those accounts, whether or not you knew about it;
- removing staff who leave, promptly; and
- keeping passwords private. Passwords must never be shared between people.
If a person leaves your business, deactivate their account. Their work history stays with your business. Their mobile number is then free for them to use at their next job — a number belongs to the person, not to the business that hired them.
5. Signing in
Staff sign in with a Pakistani mobile number and a password. A number can only be attached to one active staff account across the whole platform at a time.
To protect accounts, five wrong passwords in a row lock that account for fifteen minutes.
There is no self-service password reset today. If someone forgets their password, an admin in your business resets it. If the admin is locked out, contact us.
6. Two devices per person, and blocked devices
Each staff account can be signed in on two devices at a time. A third sign-in is refused — we do not silently kick out one of the other two, because that would make a shared password merely inconvenient instead of blocked.
- Anyone can see and remove their own devices from the app.
- An admin can remove any device belonging to their staff.
- An admin can block a device. A blocked device is signed out on its very next action and cannot sign in again until it is unblocked. A blocked device still uses up one of the two slots.
- We can block a device or an account where we reasonably believe it is being used to break these terms, or where an account is being shared between people.
Device management keeps working even if your subscription has lapsed. Cutting off a business's ability to shut down a lost or stolen phone would be the wrong thing to do.
7. Your customers' information
AquaFlow only holds information about your customers because you put it there — names, mobile numbers, delivery addresses, orders, dues and payments.
You confirm that:
- you have the right to collect and use that information under Pakistani law;
- the information you enter is accurate, as far as you know;
- you will keep it up to date and correct it when a customer asks; and
- you will only use AquaFlow to contact and serve your own customers.
We act on your instructions with that information. The Privacy Policy explains this split in detail.
8. Acceptable use
You agree not to:
- use AquaFlow for anything unlawful, or to harass or mislead anyone;
- upload material that is not yours to upload;
- share one staff account between several people;
- try to break into, overload, scrape or reverse-engineer the service;
- try to reach another business's data, or test our security without our written permission;
- resell or rebrand AquaFlow as your own product, unless we have agreed that in writing; or
- use rider location data for any purpose other than running and checking your own deliveries.
9. Availability — we do not promise uptime
We work to keep AquaFlow running and we will tell you about planned maintenance where we reasonably can.
We do not offer a guaranteed uptime level, and we do not offer service credits for downtime. We have no separate service level agreement. Please do not rely on AquaFlow being available at a particular moment for anything safety-critical or legally time-critical.
The mobile app keeps working when the phone has no signal, and sends what it recorded when the connection comes back. That is a feature of the app, not a promise about our servers.
10. Free trial
New businesses get a free trial. Your trial end date is shown in the app on the Subscription screen — that date is the one that applies to you.
During the trial you get the features of the plan we set you up on. When the trial ends, you choose a plan. If you do not, we may set the account to expired: staff then cannot sign in, and only the owner can sign in, to see the subscription screen. Your records are not deleted because a trial ended.
11. Fees and billing
- Prices are in Pakistani Rupees and are charged monthly per business.
- Billing is anchored to the 1st of the month in your account's timezone.
- Your first period is charged pro-rata for the days left in that month, divided by the real number of days in that month.
- A bill for the next month is raised on the 1st and is due that day.
- We do not take card payments inside the app. You pay by a method we agree — for example bank transfer or a mobile wallet — and we record that payment against your bill. We do not store your card details.
- Prices can change. We will tell you before a price change affects you, and a price change never applies to a month you have already paid for.
- Taxes, where they apply, are your responsibility unless we say otherwise on the invoice.
The Refund and Cancellation Policy explains upgrades, downgrades, cancelling and refunds.
12. What happens if a bill is not paid
This is the part people are most often surprised by, so it is set out plainly.
- A bill is raised on the 1st and is due that day.
- There is a grace period after the due date — three days unless we have agreed something different with you. Nothing changes during the grace period.
- If the bill is still unpaid after the grace period, the account moves to past due, and AquaFlow becomes read-only. Everyone can still sign in and see every customer, delivery, payment and report. Nobody can record anything new — no deliveries, no cash collection, no expenses, no new customers.
- Work that riders recorded offline before the account went read-only is still accepted when their phones reconnect. We do not throw away work that was already done.
- As soon as the bill is paid, writing is switched back on.
If an account stays unpaid, or you ask us to close it, or we suspend it under clause 13, the account becomes locked: staff cannot sign in at all, and only the owner can sign in, to see the subscription screen and settle up.
13. Suspension for other reasons
We may suspend or limit an account, with notice where we reasonably can and immediately where we cannot, if:
- we reasonably believe it is being used to break the law or these terms;
- the way it is being used is threatening the security or stability of the service for other businesses; or
- we are required to by a lawful order.
We will tell you why, and what needs to happen to restore the account.
14. Who owns what
- We own AquaFlow. The apps, the panel, the design, the code and the name stay ours. Nothing here transfers any of that to you. You get a licence to use the service while your account is in good standing, for your own business.
- You own your business records. Your customers, deliveries, payments, staff records, expenses and reports remain yours. We do not sell your data, and we do not use your business records to advertise to your customers.
- You may not copy, resell or publish our software, screens or documentation without our written permission.
- If you send us feedback or ideas, we may use them to improve AquaFlow without owing you anything for that.
15. Ending this agreement
- You can leave at any time. Ask us to cancel and we will schedule it. See the Refund and Cancellation Policy for exactly when access stops.
- We can end this agreement by giving you at least 30 days' written notice, or immediately if you seriously break these terms, or if a bill remains unpaid well past the grace period.
- Ending the agreement does not cancel money that was already owed on either side.
16. What happens to your data when the account ends
We do not automatically delete anything when an account is cancelled or expires. Your records stay in our database so you can come back, and so that your own financial history is not destroyed by a lapse in payment.
If you want your data removed, or you want a copy of it, email us at [email protected] from the owner's address or number. We handle those requests by hand, and we aim to complete them within 30 days. We may keep records we are legally required to keep — for example, the invoices we issued to you.
17. Our responsibility to you
We provide AquaFlow with reasonable skill and care. Beyond that, and to the extent Pakistani law allows:
- We are not responsible for losses that were not reasonably foreseeable when you started using AquaFlow.
- We are not responsible for lost profit, lost business, lost goodwill, or losses caused by your own records being wrong or missing.
- Our total responsibility to you for all claims in any twelve-month period is limited to the total subscription fees you actually paid us in the three months before the event that caused the claim.
- Nothing in these terms limits liability for death or personal injury caused by our negligence, for fraud, or for anything else that cannot lawfully be limited under Pakistani law.
AquaFlow records what your staff tell it. Delivery locations, cash figures and dues are evidence, not proof. We do not warrant that any record in AquaFlow is a true account of what happened on the ground, and we are not a party to any dispute between you and your staff or your customers.
18. Your responsibility to us
You agree to cover our reasonable losses, including legal costs, if they arise from:
- information you entered into AquaFlow that you had no right to hold or use;
- a claim by one of your customers or staff about how you used AquaFlow; or
- your use of AquaFlow in breach of these terms or of the law.
19. Changes to these terms
We can update these terms. Every version has a number and a date.
When we make a material change, the app shows you the new version and asks you to accept it before you carry on using AquaFlow. Small corrections — a typo, a clearer sentence — are published without asking again, and the "last updated" date changes.
If you do not accept a new version, you can stop using AquaFlow and ask us to cancel. Carrying on using it after a new version takes effect means you accept it.
20. Governing law and courts
These terms are governed by the laws of the Islamic Republic of Pakistan. Any dispute goes to the courts at Karachi, and you and we both agree to that.
Before going to court, please email us. Most problems are a misunderstanding about a bill or a setting, and are solved the same week.
21. General
- If one part of these terms turns out to be unenforceable, the rest still applies.
- If we do not enforce something straight away, we have not given up the right to enforce it later.
- You may not transfer this agreement to someone else without our written consent. We may transfer it if our business is reorganised or sold, and we will tell you if that happens.
- These terms, together with the Privacy Policy and the Refund and Cancellation Policy, are the whole agreement between us about AquaFlow.
